The RoleThe Administrative Associate is responsible for supporting the Admin / Operations team with financial and operational processes and day-to-day office management. The Associate will work closely with the CEO and Development Manager; they report directly to the Operations Manager (which is currently a vacant position).This is a great opportunity for someone interested in learning how a nonprofit organization operates on a day-to-day basis. The Administrative Associate will be responsible for the following. Responsibilities and projects are subject to change. Operations (65%)• Perform Accounts Payable and Accounts Receivable duties, which include processing invoices, making deposits, reconciling credit card statements and uploading bank statements• Support and respond to requests from the external accounting team as needed• Maintain organization’s electronic files, records, and receipts• Manage organization-wide calendars• Manage operations email inbox and cloud-based phone service• Assist in management of office systems, equipment and facilities• Collect and review timesheets from part-time employees• Provide general administrative support for both task-based and ongoing projects, as assignedOrganizational Support (35%)• Compile Board meeting packets, and take notes during meetings• Assist CEO with scheduling Board events and meetings, and coordinate travel arrangements• Provide general administrative and project support to the Development Manager, including donor data entry and data upkeep, and drafting and sending acknowledgement letters• Support administrative / ops team with special projects as neededRequired Qualifications• Commitment to theof New York Peace Institute and to creating a diverse, equitable, and inclusive work environment * An interest in nonprofit administration and/or development• Familiarity with bolthires Office and bolthires Drive• Basic knowledge of general bookkeeping duties• Demonstrated ability to take initiative on the job and offer viable solutions to problems• Exceptional attention to detail• Proven ability to juggle multiple priorities simultaneously• High level of Cultural Competency (the ability to communicate and interact effectively with people across cultures)• Adapts to changing needs of internal and external stakeholders; Is able to pivot and adapt quickly when change occurs• Eligible to work in the United StatesCompensation &Benefits:We benchmark our salaries based on other similarly sized nonprofit organizations in New York City.The hourly rate range for this position is $21.00 - $24.00 / hour; an offer will be made within this range and commensurate with experience.
