Administrative Specialist/Coordinator
We’re seeking a dedicated Administrative Specialist/Coordinator to support our daily operations and ensure all functions run smoothly. The Administrative Specialist/Coordinator will play a key role in supporting our leadership team and operational departments. This position is ideal for someone who is organized, proactive, detail-oriented and able to manage multiple priorities in a fast-paced remote environment. You will assist with administrative tasks, scheduling, documentation, communication and coordination across teams to ensure consistent and efficient workflow.Key ResponsibilitiesProvide administrative support to management and departmental teams. Manage calendars, schedule meetings and coordinate internal and external appointments. Prepare, organize and maintain digital files, records and documentation. Assist with onboarding documentation, internal communication and workflow coordination. Draft and manage emails, memos, reports and other business correspondence. Support project coordination by tracking deadlines, collecting required information and ensuring timely updates.Maintain and update company databases, spreadsheets and tracking systems. Serve as a communication bridge between departments to ensure smooth operations. Assist with preparing presentations, reports and other administrative materials as needed. Help monitor and organize incoming requests through email, messaging platforms or task systems. Handle various ad-hoc administrative tasks and provide general operational support. QualificationsExperience as an Administrative Assistant, Coordinator or similar role.Organizational and multitasking skills with excellent attention to detail. Exceptional verbal and written communication abilities. Proficiency in Microsoft Office Suite and/or Google Workspace; familiarity with tools like Slack, Teams or project-management platforms is preferred. Ability to work independently and manage tasks with minimal supervision. Problem-solving skills and a proactive approach to daily responsibilities. Ability to maintain confidentiality and handle sensitive information professionally.Reliable, self-motivated and comfortable working in a remote environment.
