Job title: Administrative Support Specialist (Social Services-Child Welfare)Company: Union CountyJob description:The Administrative Support Specialist, under general supervision, provides routine and non-routine clerical/administrative support which may include drafting/typing correspondence, data entry, reports, charts, graphs, using word processing, spreadsheet, database, or presentation software; basic bookkeeping, greeting and screening calls/visitors and/or providing information; preparing agendas, travel and/or meeting/special event arrangements; filing, copying, faxing opening/sorting mail and managing supervisor's or department's calendar.Serves as a receptionist or first line liaison to internal and external contacts and provides general office support. Greets customers, answers telephone, and provides directions or information to solve routine issues. Communicates routine and general information to staff, customers, and/or the public about standard services, processes, and procedures using prescribed methods or established guidelines. Schedules/cancels appointments and meeting. Establishes and maintains office files and activity logs.Assists with routine travel arrangements. Receives, processes, and ensures confidentiality of sensitive information and materials. Maintains inventory of office equipment and supplies. Maintains and updates mailing lists; organizes and implements mass mailings. Performs routine data entry. Review documents and ensure proper format. Prepares, processes, updates, and compiles routine documents, correspondence, records, and reports. Opens' sorts, and distributes mail. Collates, staples, and distributes duplicated materials.Delivers and/or picks up documents, equipment, or supplies. Collects/processes fees and payments. Provides back-up support as needed. Performs other related duties as assigned. POSITION SPECIFIC FUNCTIONS:Social Services - Child WelfareAssist in completing records requests from other agencies, counties and out of state. Assist the County Attorney with record keeping activities. Maintains and scans files into the Compass systems. Manages the fostering and health report for the Health Department. Assists in summiting Court Summaries to Attorney and managing Court Summary report for management.Reviews and accurately enters 5094's in the state system. Manages PQA and Reimbursement Reports, to ensure Foster Care parents are paid and the county is reimbursed. Transports Foster Care children and supervise visits for Social Workers. Provides childcare for Foster Care/Adoptions. Sets up all new CWS cases in Compass for CWS workers and runs criminal, central registry and immunizations. Pulls all CWS history from Laserfiche for CWS workers when needed and scans when needed. Requests medical records and 911 histories for caseworkers.Keys 5027 and 5104 into state systems to open and close CWS cases and pull history. Completes District Attorney Referrals for DA's Office and Law Enforcement and scan into Compass. Completes first letters for every denied and accepted report that is taken in by our office and scan into Compass. Completes the accepted and denied letters. Keeps detailed logs of every report and DA Referral taken as well as the day, time, Social Worker that took the report and the Social Worker assigned the report, allegations, on emergency duty or not, accepted or denied, screened in or screened out for another CountyTracks the emergency duty bags for the Social Worker that is on duty and keeps it supplied with the proper tools necessary to complete an after-hours callDistributes the Afterhours calendar to Union County Communications monthly.Completes detailed End of the Month statistics for the CPS/APS-Intake Department. Serves as back up administrator for NCID and NCFAST, as assigned. Maintains an Adoption Assistance caseload and processes all adoption assistance vendor payments, from adoptive parents and other vendors. Education andExperience:High School Diploma or an acceptable equivalency diploma (GED) with one (1) year of related experience; or equivalent combination of education and experience. Licenses or Certifications:Must have a valid Driver's License and be able to maintain a safe driving history as defined by the Union County Vehicle Use Policy.Education andExperience:High School Diploma or an acceptable equivalency diploma (GED) with two (2) years of related experience; or equivalent combination of education and experience.
