WHAT YOU’LL BE UP TO At Prix Fixe, we really believe that people are the core element of success, and our Onboarding Specialist plays a pivotal role: setting the service expectation of new clients as they are onboarded to our service platform. You’ll establish trust with hospitality clients, primarily via email and zoom. Many of our clients don’t have a financial background and rely on Prix Fixe to help them understand their business. In today’s economic climate, this is more important than ever. By providing the right mix of professional, yet casual demeanor, we believe that the relationship frees our clients up to focus on the parts of their business that brings them joy. You’ll also spend a good amount of time solving puzzles, decrypting the past and rebuilding books to perfection. If you love organizing a mess, this is the job for you. In a typical week, the onboarding specialist will spend roughly 60% of their time completing onboarding & accounting tasks, 30% of their time communicating with clients, and 10% of their time in internal meetings or training. JOB DESCRIPTION SUMMARY An accounting onboarding specialist at Prix Fixe Accounting is responsible for setting up new client’s bookkeeping according to the Prix Fixe’s standard operating procedures. The specialist will also set up all software and integrations to the accounting platform and perform the initial accounting cycles to ensure smooth operation of bookkeeping. In addition, the specialist will coach new clients on how to properly submit documentation and communicate with Prix Fixe for a seamless transition to the accounting team. The specialist will also be responsible for analyzing clients current financials, diagnosing issues and developing a plan of action to resolve any incorrect or unsupported balances in the general ledger. Once onboarding is complete, the onboarding specialist will document any variances from Prix Fixe’s standard operating procedures and hand off financials to the assigned accountant and manager. ACCOUNTING DUTIES & RESPONSIBILITIES • Payroll - Payroll conversions, payroll processing, setup & verification of timesheets, setup & validation of tip pool distributions, and addressing payroll tax issues as required. • Revenue Recognition & Automation: Setup sales integration to automate input of sales into General Ledger. Review Point-of-Sale for accuracy in categorization and taxation. • Accounts Payable - Setup and sync of AP software, vendor reconciliation, minor bill pay. • Accounts Receivable - Setup of AR and reconciliation, on occasion. • Automation and Efficiency - Recognize opportunities where clients can benefit from 3rd party applications to increase efficiency and implement change. • Balance Sheet Entries - Creation of workpapers & schedules for balance sheet reconciliation. • Historical Cleanup - Ability to diagnose issues with the General Ledger and implement change in a quick and efficient manner. REQUIREMENTS • Bachelor’s Degree in Business Administration or Accounting, Bachelor’s Degree and some relevant experience, or at least 3-years’ experience in bookkeeping or accounting industry. • A strong work ethic, including self motivation, attention to detail, follow through and analytical ability. • A high degree of professionalism and the ability to maintain the highest levels of confidentiality and integrity. • The ability to manage multiple tasks with a high level of detail and accuracy. • Proficiency & passion for problem solving • Excellent verbal and written communication skills. • QuickBooks Online proficiency required. QuickBooks Online Certification required within the first month of employment. QuickBooks Online Advanced Certification required within the first 6 months. • Maintain highest levels of certifications achieved in all apps in the app stack. • Must be comfortable with cloud-based software and have proficiency with G-Suite applications. • Comprehensive understanding of functionality of PFA-approved Point-of-Sale systems. • At least 1 year of experience working in the hospitality industry is required, preferably with an upscale, service-oriented restaurant or hotel. • Background check. • Sense of humor.
