Your role is to convert parent inquiries into enrollment commitments at Novatio, a school that offers individualized, tuition-free learning. As the first point of contact, you will support families, maintain accurate student data, and help scale enrollment—all from a fully online, technology-enabled environment.
Daily, you will shift from engaging parents through multiple channels to performing detailed record management, keeping operations compliant and streamlined. By handling the details and anticipating challenges, you allow educators to concentrate on instruction instead of administrative tasks.

What You Will Be Doing
• Answering parent inquiries through email, phone, and text channels, delivering timely and precise information aligned with Novatio's standards
• Reaching out to prospective families within 24 hours, arranging experience day visits, and confirming attendance at scheduled events
• Keeping student and family information accurate and current in HubSpot, the SIS, and other integrated systems
• Creating and optimizing communication templates and automated processes to maintain efficiency and brand consistency
• Generating attendance and compliance documentation by collaborating with teachers and utilizing modern digital platforms

• Performing manual, repetitive administrative tasks that automation can handle
• Operating from a conventional office setting or adhering to inflexible in-person schedules
• Pursuing approvals or signatures through cumbersome processes that delay parent support
• Remaining limited to routine duties with no path to contribute strategically
Administrative Assistant Key Responsibilities

Basic Requirements
• At least 2 years of experience working in a school environment
• Prior experience using Student Information Systems (SIS)
• At least 1 year of outbound calling or phone-based support experience
• Excellent written and verbal communication skills
• Eligible to work in the US without visa sponsorship
• Texas resident due to occasional in-person support needs

Working with us
This is a full-time (40 hours per week), long-term position. The position is immediately available and requires entering into an independent contractor agreement with Crossover as a Contractor of Record. The compensation level for this role is $20 USD/hour, which equates to $40,000 USD/year assuming 40 hours per week and 50 weeks per year. The payment period is weekly.
