Blithequark is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team remotely. As an Administrative Support III, you will play a vital role in providing administrative support to our integrated Adult Detox and Crisis Recovery Unit, a non-medical 14-bed facility that operates 24/7. Key Responsibilities
- Provide administrative support to the ADU/CRC staff, including phone screenings, referrals, and other duties as needed
- Use spreadsheets or databases to organize information and produce standard reports
- Prepare complex disbursement forms, such as check requests, travel forms, cash sheets, and journal entries
- Compile and maintain reports and financial statements
- Greet visitors and maintain appropriate safety procedures in secured environments
- Set up accounts, reconcile ledgers, and gather data for budget preparation
- Prepare accounting forms, reconcile daily receipts or accounts receivable/payable, and identify discrepancies
- Verify requests for goods and services against contracts and funding sources, order goods or services, and follow up on discrepancies
- Establish, modify, and maintain a system for tracking work progress, train new employees, and provide policy and procedure explanations
- Schedule appointments, maintain calendars, and coordinate audio visual and training equipment
- Type complex documents, proofread for spelling and grammar, and use multiple software applications
- Conduct tasks associated with payroll processing, such as verifying timesheets, resolving payroll discrepancies, and distributing paychecks
Essential Qualifications
- High school diploma or equivalent required
- Two years of administrative support experience required
- Associate's Degree in Business Administration or related field preferred
- Experience can substitute for education, and education can substitute for experience
