About the Role: Full Time Virtual Assistant
We're currently seeking a highly organized and versatile Full Time Virtual Assistant to join our remote team. As a key member of our administration team, you'll provide critical support to our operations, ensuring seamless day-to-day activities and enhancing our office's efficiency. This is an excellent opportunity for an experienced administrative professional looking to leverage their skills in a supportive and growth-oriented environment.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to our team, including mailouts, client invoicing, CRM management, and travel arrangements.
- Meeting and Event Coordination: Coordinate meeting room bookings, ensure client meeting rooms are maintained and presentable, and manage catering supplies for client entertainment.
- Email and Communication Management: Monitor shared inboxes and functional mailboxes, forwarding messages to recipients as necessary.
- Travel Management: Book travel for team members, including airport transfers and interstate meeting room bookings.
- Inventory and Supply Management: Monitor and maintain stock levels of office supplies and catering essentials.
- Additional Administrative Tasks: Perform other administrative duties as requested, such as photocopying, binding, mailouts, and CRM data management.
Essential Qualifications and Skills:
- Prior Administrative Experience: A minimum of 2 years of experience in an administrative or reception role.
- Technical Skills: Intermediate knowledge of Microsoft Office products, including Word, Excel, and Outlook.
- Communication Skills: Friendly and personable nature with excellent verbal and written communication skills.
- Teamwork and Adaptability: Ability to develop strong relationships within a team environment and adapt to changing priorities.
- Work Ethic and Time Management: Strong work ethic with good time management skills and the ability to prioritize tasks effectively.
- Attention to Detail: High attention to detail and a commitment to maintaining high standards of work.
Preferred Qualifications:
- CRM Experience: Experience with CRM software and data management.
- Travel Management: Familiarity with travel management tools and procedures.
- Project Coordination: Experience in coordinating projects or events.
