Job Description The Fuel and Facilities Project Manager plays a crucial role in supporting the FBO Maintenance department by undertaking various tasks and initiatives aimed at ensuring the successful execution of projects related to fuel systems and core facility infrastructure projects at our hangars, terminals, and ramps. This role ensures projects are delivered on time, within budget, and in compliance with regulatory and safety standards. This position requires a blend of project management skills, technical knowledge, and effective communication abilities to collaborate with internal and external stakeholders, as well as a proactive approach to risk mitigation. Responsibilities Fuel Facilities Management • Provides clear leadership on fuel facility projects from conception to completion, ensuring compliance with company, industry, and regulatory standards. • Lead fuel farm capital projects, including budgeting, scheduling, scope management, and risk assessment. • Conduct project status meetings with internal and external stakeholders to ensure alignment with objectives. • Work closely with architects, engineers, and contractors to define project requirements, specifications, and timelines. • Provide technical input during the design phase to align projects with organizational objectives and regulatory standards. • Manage vendor compliance • Provide regular updates to senior management and key stakeholders on project milestones, challenges, and budget impacts. • Budget management on Fuel Farm Builds; Oversee invoicing, billing management, and financial reporting for capital projects. • Conduct routine site visits to review the progress of construction activities and ensure adherence to project plans, specifications, and safety protocols. • Identify any issues or discrepancies and collaborate with project teams to implement corrective actions promptly. • Facilitate efforts towards a successful project close-out by coordinating with various stakeholders to address outstanding issues, complete documentation, and ensure compliance with regulatory requirements. • Develop and implement emergency response plans for fuel farms and facilities. Facilities Repair & Maintenance (R&M) • Manages major maintenance and repair initiatives at our FBOs, including terminals, hangars, parking areas, ramps, roofing, and utility systems. • Creates and implements a preventative maintenance program to ensure alignment with operational priorities and asset life cycle management. • Manage relationships with internal teams, contractors, vendors, and service providers on Key R&M Initiatives. • Provide regular updates to management and key stakeholders on project milestones, challenges, and budget impacts. • Ensure projects and initiatives are completed on schedule and within budget while minimizing risks. • Evaluate Vendor Performance; Serve as escalation point to FBOs for maintenance and repair initiatives. • Collaborate with procurement teams to establish and implement service-level agreements with service providers for key repair and maintenance expenditures. • Oversee budget management, expense tracking, and financial approvals for facility-related projects. Qualifications Minimum Education and/or Experience: • Bachelor’s degree in engineering, Operations, Risk Management, Construction Management, Facilities Mgmt, or related field. • 3-5 years of experience in Operations, Risk Management, • Previous experience in fuel farm operations or FBO/Airport Facility R&M management • Travel up to 25% of the time Additional Knowledge And Skills • Rapid problem-solving skills: ability to quickly prioritize. • Embraces an accountability culture and Ownership Mentality: High Involvement, engagement, and participation with an understanding that their contribution will have an impact on the business • Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively. • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams. • Excellent analytical, planning, project management, problem-solving, negotiation, and organizational skills • Skilled in conflict resolution and able to influence • Proficiency in project management software and the Microsoft Office suite. • Knowledge of relevant regulations and standards related to construction, fuel systems, and facilities management. • Ability to travel to project sites as needed.
