Role Overview: Key Responsibilities and Expectations
As a Healthcare Intake Specialist, you will be the frontline representative of our organization, handling a high volume of calls, emails, faxes, and mail inquiries from both internal and external customers. Your primary objective will be to process requests efficiently, provide accurate information, and ensure seamless communication. Here's a breakdown of your key responsibilities:
- Process a variety of requests, inquiries, and transactions via multiple channels (phone, email, fax, and mail), ensuring timely and accurate responses.
- Review requests to ensure accuracy and completeness, and verify member benefits and eligibility, as well as provider setup.
- Support internal and external customers via phone or email, providing exceptional customer service and resolving issues promptly.
- Document all pertinent information related to calls/inquiries, attaching supporting documentation as necessary, and route unresolved issues to the appropriate area for follow-up.
- Gather and analyze data to provide feedback to Team Leads on employee development needs and identify areas requiring education on prior approval or pre-certification processes.
- Screen inquiries to determine if authorization is required, and maintain and update Service Requests, researching incorrect or missing information.
- Triage and assign incoming inquiries to appropriate staff in a timely and efficient manner, ensuring seamless workflow management.
- Perform Peer Audits monthly as required, and provide clinical review outcome notifications to members and providers (verbal and written).
Essential Qualifications and Skills: What We're Looking For
To excel as a Healthcare Intake Specialist, you'll need to possess a unique blend of skills and qualifications. Here's what we're looking for:
- High school diploma or equivalent required; degree in a related field (e.g., healthcare administration, nursing) is a plus.
- At least 2 years of experience in a high-volume healthcare call center environment, with a proven track record of handling complex inquiries and providing excellent customer service.
- Strong knowledge of healthcare operations, including prior authorization and pre-certification processes.
- Excellent communication and interpersonal skills, with the ability to interact with diverse stakeholders, including healthcare providers, members, and internal teams.
- Proficiency in MS Office and experience with CRM software or other healthcare technology platforms.
- Ability to work in a fast-paced environment, prioritizing tasks effectively and managing multiple inquiries simultaneously.
- Strong analytical and problem-solving skills, with the ability to gather and analyze data to inform process improvements.
