Description:
I’m looking for a highly organized, proactive Operations Virtual Assistant who can support multiple areas of my growing business. This is a long-term role for someone comfortable handling administrative tasks, coordinating across different teams, communicating professionally, and keeping things running smoothly behind the scenes.
If you enjoy variety, take initiative, and can manage multiple moving parts without dropping details, this role is for you. I’m looking for someone who can handle a wide range of tasks (including the responsibilities below, but not limited to them). Since we are a fast-growing business, I'm looking for someone who is flexible with change and can grow with the business.
Responsibilities:
You will be responsible for supporting the business across several key areas, including:
Administrative Support
-Copying data from team timesheets into payroll spreadsheets
-Organizing documents, files, and shared folders
-Managing business email inbox (forwarding, responding, tagging, organizing)
-Preparing simple reports or updates as needed
Onboarding & Hiring Support
-Sending onboarding templates to new team members
-Keeping track of onboarding steps
-Posting job listings to Upwork/Indeed
-Scheduling interviews
-Following up with candidates
Sales & Team Coordination
-Communicating schedules, reminders, and updates to sales team
-Forwarding organizer emails and relevant information
-Being a point of contact for questions from sellers
-Helping keep simple records of schedules, products, or updates
Wholesale & Business Development Support (Future)
-Sending templated outreach emails to businesses
-Tracking wholesale inquiries and orders in spreadsheets
-Scheduling calls between me and potential wholesale partners
Storefront Preparation
-Coordinating with real estate agent (email follow-ups, updates)
-Organizing documents and timelines
-Supporting presale activities and sending partner invites
-Researching affordable furniture and setup options
Event Coordination
-Creating and sending e-vites
-Collecting availability from the team
-Researching options for team events (holiday party, etc.)
Requirements:
-Excellent written English
-Strong organizational skills and attention to detail
-Comfortable coordinating across multiple teams
-Experience with admin + operations support
-Professional communication skills (email & chat)
-Ability to manage deadlines and follow SOPs
-Proactive and resourceful
-Stable internet + reliable availability
