Key Responsibilities
Administrative & Executive Support
- Manage and respond to incoming emails in a timely and professional manner on behalf of the President
- Confirm calendar appointments 48 hours in advance via phone or email
- Prepare and create professional presentations as needed
- Generate and send client invoices using company billing systems
- Follow up on outstanding invoices and maintain accurate records of payment status
- Upload and submit monthly invoices for government and municipal clients in accordance with contract requirements
- Transfer business phone lines each morning for regular business hours and each evening for after-hours monitoring
- Maintain organized digital files, records, and correspondence logs
Social Media & Content Distribution
- Schedule and publish posts across all company social media platforms (YouTube, TikTok, Instagram, Facebook, LinkedIn)
- Upload and distribute new podcast episodes across all podcast platforms (Spotify, Apple Podcasts, etc.)
- Manage YouTube Community tab posts and audience engagement
- Assist with basic content repurposing (converting video clips, writing captions, formatting posts)
- Monitor comments, messages, and engagement across platforms and respond or flag as appropriate
Requirements
Client & Operations Support
- Manage the company's alarm monitoring portal adding, updating, and maintaining client accounts
- Serve as a point of contact for monitoring clients regarding account updates and basic service questions
- Coordinate with field technicians and office staff to ensure client records are accurate and current
- Track government client deliverables, submission deadlines, and contract milestones
