Position Overview:
We are seeking a proactive and detail-oriented Project Management Assistant to support the Managing Partner and recruiting team in day-to-day operations. This role will serve as a central point of coordination across recruiters, clients, and internal stakeholders — ensuring efficiency, clarity, and follow-through in all aspects of our recruitment cycle.
Key Responsibilities:
Candidate Coordination: Manage candidate submissions by tracking recruiter activity and ensuring all documentation is complete and submitted in a timely manner.
Client Communication: Collect and relay feedback from clients to recruiters; follow up as needed to ensure next steps are clear and executed.
Direct Sourcing: Assist in sourcing qualified candidates for urgent or high-priority roles, leveraging internal tools and platforms.
Scheduling Support: Coordinate interviews between clients and candidates, manage calendars, and confirm appointments.
ATS Management: Update and maintain our Applicant Tracking System (ATS), ensuring that candidate status, notes, and communications are accurately recorded.
Internal Workflow Optimization: Act as a communication bridge between recruiters and leadership, helping to flag delays, clarify expectations, and drive accountability.
Special Projects: Support other recruitment or administrative projects as needed, reporting directly to the Managing Partner or a designated team lead.
Qualifications:
3+ years of experience in a fast-paced administrative, recruitment coordination, or executive support role
Familiarity with ATS platforms and basic recruiting workflows
Strong written and verbal communication skills
Excellent organizational and time management abilities
Comfortable handling confidential and sensitive information
Self-starter with a solutions-oriented mindset
