Overview We are a private real estate investment group seeking an experienced, highly organized Property Management Assistant to manage the day-to-day operations of our 26-unit residential portfolio in Mobile, Alabama. The portfolio consists of a mix of single-family and multifamily properties and includes both market-rate and Section 8 units. This is a remote position requiring someone who can work independently, communicate proactively, and keep multiple balls in the air without constant supervision. This role is ideal for someone with prior property management experience who thrives in a fast-paced environment and takes ownership of their responsibilities. STRONG PREFERENCE WILL BE GIVEN TO APPLICANTS WHO RESIDE IN THE MOBILE, AL AREA AND HAVE THE ABILITY TO SHOW PROPERTIES TO PROSPECTIVE TENANTS. Qualifications We're looking for someone who brings most of the following to the table: • 2+ years of experience in residential property management or a closely related role • Familiarity with property management software (MagicDoor experience a plus, but not required — we'll train the right person) • Experience working with Section 8 / HCV programs and local housing authorities • Strong written and verbal communication skills — you'll be representing us to tenants, vendors, and third parties daily • Highly organized with the ability to manage multiple open items simultaneously without dropping the ball • Comfortable working independently in a remote environment with minimal supervision • Basic familiarity with bookkeeping workflows and vendor payment processing • Proficiency with standard communication and productivity tools (email, Google Workspace, Zoom, etc.) • Experience coordinating with attorneys, accountants, or other professionals is a plus Weekly Responsibilities • Manage property management portal (tenant profiles, leases, work orders, payments) • Respond to tenant inquiries — maintenance requests, lease questions, general communication • Post and manage rental charges per signed leases; monitor automated late payment reminders • Receive, assign, and follow up on all maintenance work orders with appropriate vendors • Monitor all active vacancy listings to confirm they are live, accurate, and ready for showings • Provide owners with a brief weekly update on portfolio activity (via call or group chat) • Pay vendors on time through portal • Follow up with contractors/vendors on active renovation projects and unit turns (typically 1–2 ongoing); keep owners informed Monthly Responsibilities • Coordinate with bookkeeper to ensure records are current and monthly partner distributions are processed on time • When units become vacant: schedule inspection, assign contractor for unit turn, post listings, and see the process through to completion • Coordinate with attorney and local vendor to ensure required notices (non-payment, lease violations) are posted on legally required dates Annual / As-Needed Responsibilities • Coordinate with accountant during tax season to provide required documentation; keep owners in the loop • Complete and maintain all Section 8 / Housing Choice Voucher forms; serve as primary contact with the local housing authority • Stay current on housing board requirements and flag any changes that affect portfolio units • Coordinate with attorney on evictions, lease renewals, and other legal matters as they arise; keep owners informed throughout Job Type: Part-time Pay: $15.00 - $20.00 per hour Expected hours: 20 per week Work Location: Remote
