QuickBooks Online and HaloPSA, HubSpot Billing Specialist

Job Posting: Fractional Controller / Accountant / Bookkeeper Proactive Risk (www.proactiverisk.com) is growing, and we’re looking for a skilled professional to join our team! As a small but dynamic services company that also resells products, we need someone to help us streamline and manage our financial operations remotely. We’re seeking a detail-oriented and proactive individual to take on a combination of roles: Fractional Controller (advisory), Accountant (chart of accounts), and Bookkeeper (weekly tasks). What You’ll Do • Chart of Accounts Management: Maintain and classify financial records, ensuring accuracy and organization. • Weekly Financial Reviews: Reconcile accounts, review vendor payments, and oversee client billing. • Payroll Support: Use TSheets/Intuit Time Tracking to manage W2 employees and contractors, ensuring accurate QuickBooks Online Payroll processing. • System Optimization: Download statements, reconcile accounts, and provide recommendations during weekly discussions to improve financial systems and processes. • Software Integration Oversight: Leverage HaloPSA (service tool) and HubSpot (sales and marketing tool), both integrated with QuickBooks Online, to streamline operations. • Collaboration with CPA: Work with our external CPA on miscellaneous Q&A and end-of-year tax preparation. What We’re Looking For • Experience: Proven expertise in bookkeeping, accounting, and payroll management. Familiarity with QuickBooks Online is essential. • Skills: Knowledge of HaloPSA and HubSpot integration is a strong plus. • Detail-Oriented: Ability to classify transactions accurately and keep financial systems in top shape. • Proactive Communication: Comfortable discussing challenges and proposing solutions during weekly check-ins. • Remote Work Skills: Self-motivated, organized, and efficient in managing tasks independently.
