Reed Smith LLP is a professional services firm seeking an Alumni Relations Administrative Specialist to provide day-to-day administrative support to the alumni relations team. The role involves managing alumni information, scheduling meetings, processing invoices, and assisting with alumni events.
Responsibilities
- Review and manage the alumni relations LinkedIn feed, LinkedIn group, and Outlook inbox, and respond as appropriate
- Update information in the firm's CRM and SharePoint databases, including alumni job changes
- Update alumni relations career services databases/platforms, including candidate information and job postings in SharePoint and on the alumni website
- Compile content for internal and external use and post to websites and platforms as needed
- Assist with alumni events, including reviewing alumni lists and related event information
- Assist with scheduling meetings
- Process invoices and travel reimbursements
- Perform other duties as assigned
Skills
- Bachelor's degree in a professional discipline required
- Minimum of 2 years in a human resources or marketing administrative role, ideally within a professional services firm
- Strong knowledge of Microsoft Office products, including Word, Excel and PowerPoint, 3E accounting software and Emburse travel and expense management software
- Strong organizational skills and attention to detail
- Effective written and verbal communication skills, with the ability to interact professionally with colleagues and external contacts
- Ability to work effectively with colleagues at all levels of the firm, establish positive working relationships, and respond to challenging situations with professionalism
- Ability to follow established procedures, use appropriate discretion in routine matters, and maintain confidentiality
- Highly motivated, flexible, adaptable to change, and able to contribute creative ideas to support alumni engagement initiatives
- Ability to sit or stand for extended periods and perform tasks requiring prolonged and/or extensive computer use
- Ability to use computers, telecommunications, and digital collaboration tools to perform core job responsibilities
- Ability to engage in effective and professional communication
- Ability to analyze information, maintain attention to detail, manage multiple priorities, and exercise sound judgment
- Ability to access, use, and safeguard confidential and sensitive information while performing job responsibilities in work environments that support confidentiality, privacy, and information security requirements
