The Sales Operations Contract Specialist manages the lifecycle of client contracts from contract generation through billing. This position requires heavy collaboration with sales, operations, and accounting to ensure revenue integrity, operational efficiency, and a seamless customer experience as the contract moves through the organization.
Position Responsibilities:
Sales & Contract Intake
- Partner with Sales to ensure opportunities and quotes in Salesforce are structured correctly prior to contract execution, including products, pricing, term dates, and special terms.
- Review contracts, statements of work (SOWs), schedules, and amendments for completeness and alignment with approved deal structures.
- Maintain company standard contract templates and work with various teams to draft new contract terms as needed.
- Coordinate contract execution (e.g., DocuSign) and confirm all required documents are fully executed before downstream handoff.
Salesforce Ownership & Workflow Management
- Maintain Salesforce as the single source of truth for contract status from signature through implementation, go‑live, billing, amendments, and renewals.
- Ensure contract lifecycle milestones (signed, in implementation, live, billing active, renewal pending) are correct and managed in a timely fashion in Salesforce.
- Create and maintain billing reports and other key reports in Salesforce.
Implementation Handoff
- Manage the formal handoff from Sales to Implementation, ensuring implementation teams receive complete and accurate contract details and dependencies.
- Validate that implementation start dates, milestones, and deliverables align with contractual terms and billing triggers.
- Act as a liaison to resolve discrepancies between contract terms and implementation execution.
Billing & Finance Coordination
- Partner with Finance and Accounting to ensure contracts are billable as structured, including pricing, quantities, billing frequency, and start dates.
- Confirm billing readiness prior to invoice generation and support resolution of billing questions tied to contract terms.
- Support revenue recognition, renewals, amendments, contract changes and terminations by ensuring Salesforce data reflects current contractual reality.
Amendments, Renewals & Ongoing Contract Management
- Manage contract amendments, additions, pricing changes, and scope modifications, ensuring changes are properly documented and reflected in Salesforce.
- Track renewal dates, notification periods, and auto‑renewal terms in Salesforce; support renewal workflows in coordination with Sales and Finance.
- Maintain organized contract repositories and ensure historical contract data remains complete, compliant, and accessible.
Education and Experience:
- Associate or bachelor’s degree or two or more years of related experience
- Legal assistant, paralegal, and/or contract experience is a plus
- Familiarity with accounting processes and principles is a plus
Knowledge, Skills and Abilities:
- Excellent written and verbal communication skills
- Excellent quality assurance ability (i.e. spot errors and inconsistencies and address accordingly)
- Excellent attention to detail, organizational, and teamwork skills
- Deadline-oriented and results oriented
- Ability to work autonomously as well as within a team environment and with employees at all levels within the organization
- Ability to understand and translate legal verbiage and requirements
- Ability to maintain confidential information
- Experience with standard Microsoft suite (Outlook, Word, Teams, Excel, etc.)
- Proficiency with Microsoft Word a plus
- Experience with Salesforce and Salesforce CPQ a plus
