About the position
ORIX USA is seeking an experienced Japanese bilingual Sr Administrative Assistant to support a senior executive and the CEO Office. The ideal candidate will be fluent in Japanese and English, and demonstrate exceptional professionalism, discretion, and business acumen. This role involves providing high-level administrative support to a senior executive of the CEO Office.
Responsibilities
• Provide dedicated support to the senior executive and his team, anticipating needs and ensuring smooth workflow.
• Manage calendars, schedule meetings, and coordinate domestic and international travel arrangements.
• Handle expense reports, invoices, and other financial administrative tasks.
• Answer calls, manage correspondence, and maintain a high level of confidentiality in communication.
• Perform general administrative duties including filing, copying, shipping, ordering office supplies, and technology setup.
• Organize offsite events and meetings, including venue research, catering, and technology setup.
• Prepare and maintain meeting documents, files, and presentations.
• Host and coordinate visits of guests and senior executives, including Tokyo HQ representatives.
• Serve as backup to other administrative staff as needed.
• Provide support during evenings and weekends remotely as needed
Requirements
• Bachelor’s degree preferred.
• 2-3 years of experience preferred.
• Fluent in Japanese and English (spoken and written).
• High proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
• Strong judgment, discretion, and confidentiality.
• Excellent organizational, communication, and interpersonal skills.
• Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment.
