Office Manager / Administrative Director Independent Real Estate Brokerage (Remote) Independent Contractor Up to $40/hour ⏱ 40 hours per week 100% Remote About the Role We are an established and rapidly growing independent real estate brokerage seeking a highly capable, proactive Office Manager / Administrative Director. This is a senior administrative role responsible for operations, systems, and accountability across the brokerage. The right candidate brings hands-on residential real estate sales–side experience, strong initiative, and the ability to independently improve processes without being prompted. This role goes far beyond maintaining existing workflows. You will be expected to identify weaknesses, solve problems at the root level, and build systems that prevent issues from recurring. Key Responsibilities Leadership & Operations • Lead administrative personnel (hiring, training, performance management, termination if needed) • Approve payroll submissions and ensure accuracy • Monitor agent accountability, task completion, and responsiveness • Coordinate with bookkeeping to ensure E&O compliance and monthly payables • Anticipate operational growth needs and support leadership planning Systems & Process Improvement • Continuously evaluate and improve internal workflows • Build systems that increase efficiency and eliminate recurring errors • Develop and maintain email campaigns and drip sequences • Create structured communication templates and scripts CRM & Technology Management • Maintain CRM integrity (lead intake, tagging, routing, workflows, automation) • Enforce CRM compliance for all agents (Follow Up Boss) • Monitor all client and lead communication to prevent lapses • Upload and maintain signed buyer representation agreements Agent & Transaction Support • Manage MLS tasks including auto-searches and inquiry responses • Schedule showings to support agents and client timelines • Research new construction communities, listings, and builder updates • Organize builder contracts and documents in Google Drive Communication & Brand Support • Respond to inbound calls, emails, and texts to the company line • Manage and engage the company Facebook group • Create and maintain builder review templates and communication frameworks Required Skills & Competencies • Highly proactive and self-directed • Strong systems and problem-solving mindset • Excellent organizational and attention-to-detail skills • Professional, persuasive communication style • Ability to manage complexity and perform under pressure • Technically proficient and quick to learn new tools • Long-term mindset aligned with company growth and stability Mandatory Qualifications • 2+ years of office management or administrative experience • 2+ years in a residential real estate sales office • CRM experience required (Follow Up Boss strongly preferred) • Proven ability to build and optimize operational systems • New construction experience preferred, not required Important Note Property management experience alone does NOT qualify. Applicants whose only real estate background is property management should not apply and will be automatically disqualified. If licensed, the candidate must affiliate with our brokerage. Licensed agents cannot be sponsored by another brokerage while performing this role.
