Virtual Administrative Assistant (Healthcare / Therapy Practice)
Job Description We are a growing virtual therapy practice looking for a reliable and detail-oriented Virtual Administrative Assistant to support client intake and scheduling. Key Responsibilities • Call and text potential clients to understand their needs • Verify insurance coverage and benefits • Match clients with available clinicians based on fit and schedule • Onboard new clients using our EHR system and Headway (an easy online system you can learn) • Send welcome and follow-up emails to new clients • Track clinician availability and update schedules in Headway • Maintain accurate records using Google Sheets • Document all client interactions and tasks completed • Communicate clearly via phone, text message, and email • Flag urgent issues and follow established workflows Requirements • Strong communication skills, professional and friendly phone presence • Experience in healthcare, and HIPAA compliant • Comfortable using EHR systems, Headway experience is a plus • Organized, dependable, and detail-focused • Able to follow procedures and document work consistently • Reliable internet and availability during agreed-upon hours Hours & Pay • Part-time, up to 20 hours per week • Hourly, with potential for long-term work based on fit Apply tot his job
