As a Field Services Administrator-Dispatcher, you'll be an integral part of our team, working remotely in a part-time capacity to support our field service operations.
About the Role
We're seeking an experienced and highly skilled Field Services Administrator-Dispatcher to join our team. As a key member of our field service department, you'll be responsible for receiving incoming calls, creating service tickets, managing incoming service requests, completing job estimates, and requesting purchase orders for customers across multiple Environmental Solutions Group operating companies. This is a unique opportunity to work in a dynamic and fast-paced environment, leveraging your administrative expertise to drive success and make a meaningful impact.
Key Responsibilities
- Receive incoming calls, transfer to appropriate extensions, and provide requested information to customers.
- Create service tickets for multiple ESG operating companies, including Heil, 3rd Eye, and Marathon.
- Manage incoming service ticket requests, ensuring ticket hygiene and proper service request fulfillment.
- Create field service estimates based on service ticket requests, following Technical Service standard job estimate practices.
- Contact customers to request purchase orders to fulfill service dates.
- Develop and maintain basic administrator knowledge of phone systems and make changes as required.
- Maintain mailboxes and extensions as needed.
- Arrange travel for tech services team members.
- Manage office supply inventory and place orders for items according to the schedule.
- Attend work during regular working hours or other schedules assigned by the department manager, with acceptance of overtime assignments as required to meet goals and objectives.
- Perform other related duties as required and assigned.
Job Specifications
To be successful in this role, you'll need to possess the following qualifications and skills:
Essential Qualifications
- High school degree or equivalent required.
- Bachelor's degree preferred.
- 3-5 years of experience in a similar role or industry.
- Prior knowledge of databases, quote systems, and ticket systems used by technician teams.
- Prior experience providing estimates for services.
- Excellent oral and written communication skills, including a clear and courteous speaking voice.
- Ability to handle multiple incoming calls in a calm, courteous, and efficient manner.
- Basic business and clerical skills.
- Proficient computer skills in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) at the intermediate to expert level.
- Ability to maintain complete confidentiality regarding incoming calls and other information received during the course of employment.
