Label Expense & Royalty Bookkeeper

Position Overview We’re hiring a Label Expense & Royalty Bookkeeper to ensure that all expenses across our music projects are properly recorded, categorized, and assigned to the correct artist or release. This role will be key in maintaining clear documentation in case of an artist audit, ensuring transparency for recoupment tracking, and keeping NEWWRLD’s records ready for quarterly and annual tax filings. Core Responsibilities Expense Tracking & Recoupment Support • Enter and categorize all label-related expenses (marketing, video, production, travel, etc.) • Tag and organize expenses by artist, project, and department • Maintain clear records to show how artist advances or budgets have been spent • Help prepare documentation in case of artist audits Royalty & Statement Organization • Collect and file statements from DSPs, distributors, and PROs • Track incoming income vs. outgoing expenses by artist • Support internal royalty summaries to show what has and hasn’t been recouped Tax Readiness • Maintain books in QuickBooks or other accounting tools with accurate categorization • Ensure digital records of receipts, invoices, and payments are always accessible • Organize quarterly summaries for CPA and support 1099, W9, and year-end prep Requirements • 2+ years experience in bookkeeping, ideally with a label, distributor, or music company • Strong familiarity with tracking income and expenses for multiple projects or clients • Highly organized and detail-oriented — nothing slips through the cracks • Comfortable using QuickBooks, Google Sheets, and cloud-based file systems • Trustworthy with confidential financial and royalty data • Bonus: familiarity with music royalty concepts like recoupment, advances, and splits How to Apply Please submit: • Your resume • A brief summary of your experience tracking expenses or managing books for creative projects • Any sample reports, spreadsheets, or accounting tools you've used (optional) Email: [email protected] Company DescriptionNEWWRLD is a cutting-edge music company reshaping how artists connect with fans across digital platforms.
