Title:Virtual Assistant – Operations & Admin Support for Fast-Growing Food Distributor (Airtable/bolthires Workspace/Excel)Overview:Allied Grocers is a rapidly scaling national distributor specializing in overstock and liquidation consumer packaged goods (CPG). We are seeking a highly organized, detail-oriented Virtual Assistant to support our operations, logistics, and administrative workflows. This role is ideal for someone with experience in freight coordination, CPG logistics, and Airtable systems, who thrives in a fast-moving, remote-first environment.✅Key Responsibilities:Complete and submit vendor and customer onboarding forms (credit apps, shipping profiles, tax forms)Coordinate and track freight pickups and deliveries with carriers, warehouses, and customersMaintain clean, organized folder structures across internal systems (bolthires Drive and Airtable)Update and manage a master logistics and payment calendar, including:Pickup & delivery datesCarrier & PRO numbersLoad weights and product infoPayment statusAssist with invoicing, load reconciliation, and Airtable CRM data hygieneRequirements:2+ years of experience in virtual operations, logistics, or executive assistant workFluent in Airtable, bolthires Workspace, and bolthires ExcelAble to independently organize documents, track deadlines, and coordinate moving partsExcellent written communication and task managementHighly organized, resourceful, and able to anticipate needsFamiliarity with CPG, wholesale, freight, or 3PL coordination preferredLogistics:Time Zone: Must overlap at least 8 hours/day with US Central Time (CST)Hours: 10–20 hours/week to start, with potential to growRate: Please include your desired hourly rateTake-Home Interview Project (Required):To assess your real-world skills, we’re asking all applicants to complete a short task and submit a screen-share video (5–8 minutes) walking through your process.Task Overview:We’ll provide a sample folder with:Vendor onboarding formCustomer credit appW-9Freight details emailCustomer receiving scheduleYour assignment:Create a clean folder structure to organize these documents (explain your logic).
