Job Overview In this role, you will be responsible for providing clerical and data entry support to our Adult Education office, ensuring accurate record-keeping, data organization, and compliance with relevant regulations. Primary Responsibilities Manage multiple databases to ensure accurate record-keeping and data organization, utilizing your attention to detail and organizational skills to maintain up-to-date and accurate records. Enter required grant data accurately into our systems, meeting monthly, quarterly, and year-end deadlines, and ensuring compliance with relevant regulations and guidelines. Maintain appropriate records and follow required procedures and practices for attendance and assessment data, adhering to strict confidentiality and security protocols to protect sensitive student information. Maintain required security of student data in compliance with FERPA, demonstrating a strong understanding of data protection principles and practices. Complete regular error checks and data clean-up to ensure accurate reporting, utilizing your analytical skills to identify and resolve discrepancies and errors. Ensure data is accessible in a timely manner to staff and other stakeholders, providing exceptional support and service to our team and partners. Organize and prioritize tasks to meet all local, state, and program deadlines, demonstrating your ability to work effectively under pressure and manage multiple priorities. Monitor and evaluate student outcomes, including pre/post testing with state-mandated assessments, and participate in staff meetings and professional development opportunities to continuously improve your skills and knowledge. Perform a range of administrative tasks, including scanning documents, labeling items, inventorying supplies, basic word processing, organizing digital files and materials, preparing mailings, and assisting with filing. Qualifications To be successful in this role, you will require: A High School diploma or GED, demonstrating your commitment to education and personal development. Knowledge of standard office practices and procedures, including MS Office Software, and the ability to apply this knowledge in a practical and effective manner. Proficiency in Excel, with the ability to create, edit, and manipulate spreadsheets to meet the needs of our organization. Excellent communication and interpersonal skills, with the ability to work cooperatively with others, provide exceptional support and service, and maintain positive relationships with our team and stakeholders. The ability to perform office work quickly and efficiently while maintaining accuracy, plan, organize, and prioritize work effectively, and work under pressure with frequent interruptions. Physical Requirements This role requires: Regular talking, expressing or exchanging ideas by means of the spoken word, and the ability to convey detailed or important spoken instructions to other workers accurately, loudly, or quickly. Normal cognitive abilities, including the ability to learn, recall, and apply certain practices and policies, and the ability to work in a fast-paced environment with frequent interruptions.
