Job Overview The Data Entry Specialist will play a critical role in updating and maintaining the accuracy and integrity of our company databases and computer systems. As a key member of our data team, you will work closely with our Data Manager and other stakeholders to ensure that all information is collected, entered, and maintained with the highest level of precision and attention to detail. Key Responsibilities Verifies and logs receipt of data, ensuring that all information is accurately recorded and up-to-date. Transcribes source data into the required electronic format, maintaining the integrity and accuracy of the information. Transfers information from paper formats into computer files using keyboards, data recorders, or optical scanners, ensuring efficient and accurate data entry. Performs high-volume data entry using word processing, spreadsheet, database, or other computer software, meeting department standards for quality and productivity. Verifies the integrity of data by comparing it to source documents, identifying and resolving any discrepancies or errors. Reviews data for errors, missing pages, or missing information, taking corrective action to ensure the accuracy and completeness of the information. Maintains a filing system and protects confidential customer information, adhering to the highest standards of data security and confidentiality. Performs regular backups to ensure data preservation, safeguarding against data loss or corruption. Responds to requests to retrieve data from the database or electronic filing system, providing timely and accurate support to stakeholders. Uses basic office equipment, such as photocopy machines and facsimile machines, to perform tasks efficiently and effectively. Maintains a satisfactory level of quality and productivity per department standards, continually striving for improvement and excellence. Completes additional assigned tasks as required, demonstrating flexibility and a willingness to support the team. Prepares, compiles, and sorts documents for data entry, ensuring that all information is accurately and efficiently processed. Essential Qualifications To be successful in this role, you will need to possess the following essential qualifications: Proven data entry work experience, as a Data Entry Operator or Office Clerk, with a strong track record of accuracy and attention to detail. Experience with MS Office and data programs, including word processing, spreadsheet, and database software. Familiarity with administrative duties, including data entry, filing, and record-keeping. Experience using office equipment, such as fax machines, scanners, and photocopy machines. Typing speed and accuracy, with excellent knowledge of correct spelling, grammar, and punctuation. Attention to detail, with a strong focus on quality and accuracy in all aspects of work. Confidentiality, with the ability to maintain the security and confidentiality of sensitive information. Organization skills, with the ability to stay focused on assigned tasks and prioritize work effectively.
