Key Responsibilities Participate in monthly virtual meetings, where your insights and contributions will help shape arenaflex's mission and culture Guide customers in achieving their travel goals by working closely with them to create personalized itineraries Embody arenaflex's Core Values and Mission Statement, and live out our company culture in every interaction Surprise and delight clients with innovative solutions and personalized service, ensuring no one falls through the cracks Respond to client inquiries and requests promptly, providing exceptional customer service and support Manage payments and send payment reminders, ensuring seamless financial transactions Handle flight changes, seat assignments, and concierge details such as spa, tour, and dinner reservations, providing a holistic travel experience Correspond with clients about their preferences, arrange surprises, welcome notes, and notify hotels of preferences before departure, demonstrating attention to detail and care Prepare client documents and travel tips, advising on what should be printed, and ensuring everything is ready 3 weeks before departure, guaranteeing a stress-free travel experience Assist with internal coordination and distribute necessary information, facilitating effective communication and collaboration Set schedules and manage time effectively, prioritizing tasks and meeting deadlines in a fast-paced remote environment Manage client profiles and bookings, maintaining accurate and up-to-date records Serve as backup travel support or the main point of contact during emergencies, even outside of normal office hours, providing peace of mind and assurance to our clients Continuously grow in your ability to implement tools that enhance our remote workplace culture, driving innovation and excellence Essential Qualifications To succeed in this role, you will need to be a driven self-starter who is proactive, positive, and trustworthy.
